How it works
An agent built for the workflow, adapted to yours.
oktogonAI does not license a platform for your team to configure. We start from agents built for quoting, order processing and related workflows, and adapt them to your ERP, rules, pricing logic and exceptions, inside your own infrastructure.
Three ways to automate a workflow
What you are actually buying.
Most AI projects are one of the first two. The third is what we do, and the difference shows in who does the work and where it runs.

Ready-made
What is built before we arrive, and what is yours.
Every solution has the same split. The workflow logic exists; your data, rules and systems are what a deployment adds.
Already built
- Reading emails and documents: PDFs, spreadsheets, scans
- Matching each request against your master data
- Business-rule checks and confidence scoring
- Approval routing and exception handling
- Writing results back into your ERP and CRM
- A complete log of every action
Configured for you
- Your catalog, customers and master data
- Your pricing, tolerances and business rules
- Your approval thresholds and who signs off
- Your ERP, CRM and mailbox endpoints
- Your templates, terms and tone
- The point where a person takes over
You stay in control
Automate the routine. Keep people in the important decisions.
You decide what the agent can complete automatically, what needs approval and what should always go to a person.
Set rules based on value, customer, confidence, workflow or any condition that matters to your business.

How we start
Start with one workflow. Prove the value. Then expand.
- 01Find
Choose the workflow worth fixing first.
We map where your team spends time on repetitive operational work.
- 02Build
Create the agent around your real process.
We test it using actual requests, documents, rules and edge cases.
- 03Connect
Plug into the tools you already use.
Email, ERP, CRM, files and other systems become part of the workflow.
- 04Launch
Start with clear boundaries.
Define approvals, exceptions and what the agent can complete automatically.
- 05Expand
Automate the next workflow.
Once the first agent proves its value, add more processes across the business.
Questions
Questions about how it works.
Is oktogonAI a software product?
Not in the sense of a license you configure. We start from agents built for the workflow and adapt them to your systems, data and rules. There is no platform your team has to learn before anything works.
Do we have to replace our ERP or CRM?
No. The solutions work across the systems your operation already runs (ERP, CRM, email and document storage) and write into them rather than around them.
Where does the solution run?
Inside your own infrastructure, working directly against the systems your data already lives in. The model endpoints it uses, and the data terms that apply to them, are agreed with you before deployment.
What happens when the agent is not sure?
It hands the case to a person with the reason attached. Where that line sits (confidence, customer, transaction value, action type) is configured with you.
Can it cover more than one workflow?
Yes. Every workflow is added to the same system, with the same foundation, the same control layer and the same activity log, until AI runs as one operating system across your operation. Each addition is its own scoped decision.
How is the first project scoped?
Around one workflow, identified in the Workflow Review. The scope is fixed and agreed before work starts; expanding to further workflows is a separate decision once the first has proved its value.
What does the Workflow Review cover?
One workflow, looked at end to end: how the work gets done today, the manual steps, the systems involved, how much of it an agent could realistically take over, and what a first implementation could look like.
Find the first workflow worth handing over.
The review looks at one workflow end to end and tells you whether a ready-made solution fits it.
Start with quotes or orders
Two primary workflows first. Procurement, finance and customer operations once the first one proves value.
