AI tends to arrive in pieces: a tool in one department, a pilot in another, each with its own access and no shared record. oktogonAI builds and implements the alternative: one system inside your infrastructure that every agent works through, from the five ready-made solutions to the workflows specific to your operation.

Today
What AI in pieces costs you today.
Each tool is reasonable on its own. Together they leave nobody able to say what the AI in your company is doing.
A separate tool for each use case
Separate access and permissions for each
No shared record of what any of them did
Every new use case starting from zero
Each tool reviewed by IT and security again
The same systems connected over and over
Rules that differ from one tool to the next
Nobody who owns the whole picture
With oktogonAI
What we build instead.
One system, on the same foundation as the five ready-made solutions, extended one decision at a time.
- 01
One foundation
Every agent reads emails and documents, matches your master data and writes to your systems through the same components: the ones the five ready-made solutions already run on.
- 02
Your systems, connected once
ERP, CRM, mailboxes and document storage are integrated once, and every workflow after the first uses the same connections.
- 03
One control layer
Scoped permissions, approval rules and exception handling are defined in one place and apply to every agent, whoever owns the workflow.
- 04
One activity log
Every action by every agent is written to one record inside your environment, so audit and IT review one system instead of many.
- 05
Ready-made agents
Quoting, order entry, procurement, invoice processing and customer operations deploy onto the system as they are, adapted to your data and rules.
- 06
Your own workflows
The workflows specific to your operation are built on the same foundation rather than as separate projects, and inherit the same controls from the first day.
- 07
Grown one decision at a time
It starts with one workflow. Each next one is a scoped decision, added to the same system once the last has proved its value.
The output
One register for every agent.
Illustrative view of a configured system. Ready-made agents and the workflows built for you sit side by side under the same rules, and nothing new runs until someone has granted it access.
| Agent | Owner | Tasks today | Needs review | Status |
|---|---|---|---|---|
| Quote Agent | Sales | 142 | 6 | Running |
| Order Agent | Order management | 87 | 2 | Running |
| Finance Agent | Finance | 63 | 4 | Running |
| Contract review | Legal | 0 | 0 | Awaiting access grant |
The fourth row is a workflow built for this company, not one of the five, and it is registered, owned and logged exactly like them. It has no access yet: a new workflow starts with none until someone grants it, and the system never widens an agent's permissions on its own.
Ready-made
What is already built, and what we build with you.
The foundation exists. It is what the five solutions run on. A company-wide system adds your map: which workflows, in what order, owned by whom.
Already built
- Email and document understanding, including scans and spreadsheets
- Master-data matching with confidence scoring
- Business-rule checks, approval routing and exception handling
- Writing results back into your ERP and CRM
- Scoped permissions and a complete activity log
- Five ready-made agents: quote, order, procurement, finance, customer operations
Built and configured for you
- Which workflows run, and in what order they are added
- Your systems, data sources and integration endpoints
- Your rules, thresholds and approvers, per workflow
- Who owns each agent and each exception
- The workflows specific to your operation
- Model choice per workflow
Your stack
Systems the operating system connects.
Systems common in the operations we work with. Per-system implementation is scoped during the review; listing a system here is not a claim of a native integration.
Control
What the system allows, and what it never does.
The rules that govern each agent, applied across all of them. Permissions are scoped at deployment and enforced at runtime.
Can
- Run each agent under its own scoped permissions
- Route each approval to the owner of that workflow
- Keep one activity log across every agent
- Add a workflow without adding a tool
- Use the model that suits each workflow
Requires approval
- Any new agent or workflow going live
- Any new system connection
- Any widening of an agent's permissions
- Any change to approval rules or thresholds
Cannot
- Grant an agent access it was not given
- Let an agent change its own rules
- Take an action outside an agent's scope
- Replace your ERP, CRM or document systems
Questions
Questions we get about the system.
What is an AI operating system?
The layer every AI agent in your company works through: shared components for reading documents and writing to your systems, one set of permissions and approval rules, and one record of every action. We build and implement it inside your infrastructure. It is not a platform you license and configure yourself.
Do we have to start with the whole system?
No. It starts with one workflow, usually one of the five ready-made solutions, and grows from there. Each next workflow is a separate, scoped decision, added to the same system.
Can it include workflows that are not among the five?
Yes. Workflows specific to your operation are built on the same foundation as the five solutions, so they run under the same control layer and write to the same activity log from the start.
How is this different from buying an AI platform?
A platform gives your team tools to build with. Here the system is built and implemented for you, around your data, rules and systems, and every workflow on it is one we deliver.
Where does it run?
Inside your own infrastructure. The system works directly in your systems, so your records are not copied into a shared service. The model endpoints it uses, and the data terms that apply to them, are agreed with you before deployment.

The five ready-made solutions
AI Quote Agent
Reads inbound RFQs, matches parts, applies contract pricing, checks availability and prepares the quote for approval.
AI Order Agent
Reads incoming purchase orders, validates lines and pricing, checks credit and stock, and creates the sales order in your ERP.
AI Procurement Agent
Takes purchase requests, issues RFQs to approved suppliers, chases responses, compares offers and raises the purchase order.
AI Finance Agent
Captures supplier invoices, matches them against purchase orders and receipts, applies coding rules and posts to your ERP.
AI Customer Operations Agent
Classifies incoming operational requests, retrieves live status across your systems, and answers or routes each one.
